How Our Billing Works
CharlestonMD is a hybrid concierge practice. That means your annual membership fee covers enhanced access and your wellness program, and regular office visits are billed to your insurance the same way any primary care practice would bill them.
What the Annual Fee Covers
Your annual wellness visit, the Cleveland Heart Clinic Diamond panel, after-hours and weekend provider access, and reduced rates on certain outside testing through MDVIP partners.
What Goes Through Insurance
Scheduled office visits and any blood work beyond the two-part annual wellness visit.
How We Differ from Direct-Pay Practices
Direct-pay or cash-only practices do not bill insurance. They usually include a set number of visits in the annual fee, charge at time of service for anything beyond that, and cannot file claims on your behalf for visits, referrals, blood work, or imaging. Those patients receive a superbill to submit themselves. CharlestonMD bills insurance directly.
What You May Owe
If your plan has no deductible for primary care, you will not have an out-of-pocket charge for those visits. If your plan requires a copay or applies a deductible to primary care, we are required by payer rules to collect it in order to stay in network with the major carriers. Check the back of your insurance card if you are not sure how your plan handles primary care.
Statements and payments
Billing statements now show the CharlestonMD name.
- Patients with a balance receive notices by email and text. Balances over $100 also receive a mailed paper statement.
- Text notices include your balance and a secure payment link. No account details are included in the text.
- Email notices come from no_reply@email.billing.elationemr.com with a View Statement button that opens your full statement in ElationPay.
- Statements are not available through the patient portal.
- If your email address or mobile number has changed, call the office so we can update your records.
